Legal Secretary - Part Time - Wednesday - FridayWe are looking for a Legal Secretary to join our collegial and vibrant Firm! As a Legal Secretary, you work with a variety of attorneys as our Firm as well as clients. Responsibilities for the role are as follows:

- Performs clerical duties such as scheduling appointments, providing information to callers, taking dictation, composing routine incoming mail, client billing, transcription and typing of documents.
- Responsible for assisting peers during absences.
- Responsible for managing team’s workflow in a timely manner.
- Offers assistance to peers when possible and seeks assistance when necessary.
- Manages calendar and assists in meeting deadlines. Acting as liaison between attorney and clients as well as attorneys within the firm.
- Coordinates meetings and schedules.
- Files correspondence and legal documents in office filing system per Firm guidelines.
- Ensures proper indexing and filing of original legal documents.
- To work, when necessary, overtime and weekends.
- Ability to meet deadlines.
- Adhere to the Firm’s training requirements.

EDUCATION/EXPERIENCE:

- Ability to read and comprehend simple instructions, short correspondence, and memos.
- Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the firm.

Billing SpecialistWe are seeking a Billing Specialist to join our Finance team. The Billing Specialist plays an important role in revenue cycle of the firm. The Billing Specialist is responsible for the timely production our the Firm's bills and will work with a variety of attorneys. This position is responsible for processing all aspects of monthly billing from prebills to posting bills for their assigned billing attorneys, assisting billing secretaries, producing reports on request, and managing the WIP.
- Billing: Review; edit; post and file all billing
- Create accounts receivable for unique billing
- Apply On Account Fees, On Account Disbursements and retainers to billing and posted accounts receivable
- Create accounts receivable for retainer application when there is no attorney time/hours worked
- Billing mentor
- Assist with creating and editing bill groups
- Create monthly and on demand prebills
- Create requested reports: time; hours; etc.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- Ability to communicate in an effective professional manner and be flexible in his/her approach in a multi-tasked environment
- Ability to apply common understanding to carry out instructions furnished in written, oral or diagram form
- Ability to deal with problems involving several concrete variables
- Proficiency with Windows 95, Lotus 123/Excel, Microsoft Office, CMS
EDUCATION/EXPERIENCE:
Experience with CMS/Aderant or Elite legal billing platforms is preferred, as is working in a legal accounting environment.
